Using the invitation email template

You invite participants to complete the assessment by sending them an email. You create this email by either using the default invitation, or by creating your own template.

If you use the default invitation, participants will receive a standard e-mail that includes a link to take the assessment. This link is pre-programmed with the participants' identifying information (e.g., name and e-mail address) as you entered it into the system, so they do not have to type it when they begin the assessment.

 

To use the default invitation

  1. Select the Default radio button.

  2. To track assessment completion, enter a contact name and email address and select Send email notification when an assessment has been completed.

  1. To set the invitation to expire, select Expire this link on and enter a date.

 

To create your own invitation template

  1. Select the Custom radio button.

  2. Select Create a New Template from the Template drop-down menu.

  3. Type an email subject line in the Subject text box, or use the subject line provided.

  4. Make your changes to the text.

Do not alter any of the variables (the text within brackets). If you do, participants might not receive a link to take the assessment.

  1. To see how the email will appear to the participant, click Preview Email.

  2. To track assessment completion, enter a contact name and email address and select Send email notification when an assessment has been completed.

  3. To set the invitation to expire, select Expire this link on and enter a date.

  4. Click Save As New Template.

    The Template Information dialog box appears.

  5. Enter a name for the new template.

  6. Click Save.

    Your new template will now be listed in the Template drop-down menu. To use this template again, select the Custom radio button, and then select the template name from the Template drop-down menu.
